Terms & conditions for all PARTIES  
(inc 18 TH/21 ST Birthday events)
from January 1st 2010

*ALL CUSTOMERS MUST BE AWARE THAT THE TERMS & CONDITIONS MUST BE ADHERED TO ON THE NIGHT OF THE FUNCTION AND THE PERSON SIGNING THIS DECLARATION IS GOING TO BE RESPONSIBLE THAT ALL CONDITIONS ARE RESPECTED*
Our room capacity is:
Backroom – 200 persons
Premier bar – 100 persons
Front bar – 100 persons

Total venue capacity is 400 persons at any one time

Please understand that no function held here can be advertised on face book, the internet etc to anybody. It must be a private party with invited guests and we do not hold ticket functions where you have no idea how many people may turn up. Please speak to the manager for clarification on our terms.

• All costs for Room Hire, Buffets and (DJ CASH ONLY) provided by ourselves MUST be paid for, in full, 14 days prior to the function. This must happen for the function to go ahead. Payment by cheque, cash or credit/debit cards is accepted.

• Any function involving an 18th/19th/20th or 21st Birthday must have a significant number of adults attending the function on the night (minimum of 10 adults) bar staff are also instructed to ask for ID any person they believe to look under 18. No ID = No alcohol!!

• The rule is that all bar staff will only serve anyone WHO IS JUST OVER 18 one drink at a time; this is to try and solve the problem of under age drinkers being passed drinks when they themselves cannot get served!

• If you decide to bring your own food/buffet to the event there will be a £25 surcharge added to the room hire. There is no charge for bringing your own DJ/entertainment.

• When booking your event your will have access to the room from 7pm on a Friday or Saturday night, and the function will close at 1am with last orders being 12:45am. You must vacate the room COMPLETLEY by 01:30am, drinks will be taken away from you after this time by door staff.

• All 18th birthday parties are only 8pm-MIDNIGHT! THIS APPLIES TO 18TH BIRTHDAY PARTIES ONLY!! EVERYONE OUT BY 12.30am!

• Something that is questioned a lot is `what time can we come in and decorate?` or `can we bring the food in the afternoon?` please remember you book the function room from 7 – 1 you could either tell your guests to arrive from 8pm and bring your buffet or your own  decorations/entertainment in from 7 or alternatively there is a £10 charge per hour to come in early say 6pm this is because we need to bring staff in earlier for security purposes.

• Anyone who has been refused service at any bar in The Courtyard due to lack of ID or being under 18 and is found to have alcohol will have it removed from them by bar staff or door staff.

• The management and door staff reserve the right too search anyone they believe to be carrying drugs, refusal to be searched will result in that person leaving the function, and if caught with drugs the police will be called immediately.

• ANY PERSON FOUND WITH FAKE OR ALTERED IDENTIFICATION WILL HAVE IT CONFISCATED AND IT WILL BE GIVEN TO THE POLICE. THEY WILL NOT GET IT BACK!

• A £75 CASH DEPOSIT (NO CHEQUES) IS REQUIRED for 18th/19th/20th/21st Birthdays PAYABLE 14 DAYS BEFORE THE FUNCTION BY THE PERSON WHO ACCEPTS RESPONSIBILITY FOR SIGNING THE TERMS & CONDITIONS, THE DEPOSIT IS REFUNDABLE AT THE END OF THE FUNCTION AS LONG AS NONE OF THE FOLLOWING OCCUR:

• A £50 CASH DEPOSIT IS REQUIRED FOR ALL OTHER PARTIES PAYABLE 14 DAYS BEFORE THE FUNCTION. 

• FIGHTING OR DOMESTICS THAT GET OUT OF CONTROL
• ANY DRUGS FOUND ON A PERSON FROM YOUR PARTY
• BREAKAGES (except glasses) OF ANY KIND
• DAMAGE OR THEFT TO COURTYARD PROPERTY
• SOILING OF THE INTERIOR (vomiting or food)
• UNDERAGE DRINKING

(Caught excessively) OR BRINGING YOUR OWN ALCOHOL ONTO THE PREMISES

• ABUSING THE BARSTAFF FOR NOT SERVING UNDER AGE

PERSONS

• ANY DAMAGE TO PAINTWORK/FIXTURES CAUSED BY                             YOUR PARTY
• CLOSURE OF THE FUNCTION FOR ANY REASON

• If you bring your own entertainment and the Band/DJ wish to leave there equipment overnight there is a £ 10 charge to do this, and the equipment must be collected between 9am and midday the following morning, The Courtyard will take no responsibility for any equipment that is left on the premises, it is left at the persons own risk.

• The Courtyard does not provide any equipment unless you have booked our entertainment, so if bringing your own DJ ensure speakers, amps, lights etc are all provided by them.

• THE COURTYARD DOES NOT PROVIDE ANY KITCHEN OR COOKING FACILITIES THIS INCLUDES CUTLERY, PLATES ETC. NOBODY BUT STAFF ARE ALLOWED IN OUR KITCHEN FOR HEALTH & SAFETY REASONS. THIS ONLY APPLIES IF YOU BRING YOUR OWN FOOD, IF YOU HAVE OUR BUFFET WE PROVIDE ALL THE ABOVE, PLATES, CUTLERY ETC

• Children must be kept under control AT ALL TIMES! There are sometimes other guests who use the toilets/corridors so please be respectful. No-one under 18 is allowed in the front bar or balcony area of the upstairs function room AT ANY TIME.

• A £50 deposit is required to secure your function and must be paid as soon as possible otherwise your function is only provisional and you may lose it if someone else comes in to view the room on that date with a deposit.

• ALL DEPOSITS ARE NON-REFUNDABLE

• ONCE MONEY HAS BEEN GIVEN AND PAID AFTER THE £50 DEPOSIT FOR DJ, ROOM HIRE, REFUNDABLE DEPOSIT ETC SHOULD YOU DECIDE TO CANCEL FOR WHATEVER REASON NONE OF THE MONEY IS REFUNDABLE. IF YOU CANCEL WHILST ONLY HAVING PAID £50 THEN YOU ONLY LOSE THAT DEPOSIT. YOU WILL BE SIGNING TO THIS EFFECT TODAY.

• If any bands are booked in by you flyers and posters must not be put in other pubs or given out around town as it is illegal and could be fined. The Courtyard will not be held responsible.

• REFUNDABLE DEPOSITS PAID BY YOU MUST BE COLLECTED WITHIN ONE MONTH OF YOUR FUNCTION AND THE RECIEPT YOU ARE GIVEN MUST BE PRODUCED. IF DEPOSITS ARE UNCLAIMED WE WILL GIVE THE MONEY TO CHARITY AND YOU WILL NOT GET YOUR DEPOSIT BACK! (you will be signing to this agreement today)

• 18TH BIRTHDAY PARTIES FROM 1ST JANUARY 2009 WILL ALSO HAVE A £50 SURCHARGE FOR EXTRA DOOR SECURITY ON THE NIGHT. THIS APPLIES TO 18TH BIRTHDAY PARTIES ONLY. THIS IS DUE TO 18TH PARTIES GETTING OUT OF CONTROL IN THE PAST AND FOR THE SECURITY AND SAFETY OF STAFF AND CUSTOMERS. 18TH BIRTHDAY PARTIES WILL ONLY BE 8PM-MIDNIGHT IN ANY OF THE FUNCTION ROOMS.

• IF ANY OTHER EVENTUALITY OCCURS THAT ARE NOT COVERED IN THESE TERMS THEN IT IS THE COURTYARDS MANAGEMENTS FINAL SAY REGARDING ANY BOOKING HELD OR BEING HELD AT THE COURTYARD. AGAIN YOU WILL BE ACCEPTING THESE TERMS BY SIGNING TO THE AGREEMENT TODAY.

• IF ANY OF THE TERMS AND CONDITIONS ARE BREACHED IN ANY WAY AND ARE DEEMED SERIOUS ENOUGH BY THE MANAGER ON DUTY THAT NIGHT THEN THE FUNCTION CAN AND WILL BE CLOSED DOWN, THIS IS NOT NEGOTIABLE, AND THERE WILL BE NO REFUNDS ON ANY MONEY PAID. YOU WILL BE SIGNING TO THIS AGREEMENT TODAY.

ALTHOUGH YOU MAY THINK THAT THE TERMS & CONDITIONS ARE SOMETIMES STEEP, WE ARE JUST STRIVING TO MAKE EVERY FUNCTION, SAFE, ENJOYABLE AND SECURE FOR YOU THE CUSTOMER AND ALL STAFF
